Youth Protection

Purpose

These guidelines outline the requirements for housing assignments for youth programs involving minors. As the housing provider, our role is to facilitate safe and appropriate housing accommodations for all camp participants. While we contract with each camp's program director to provide housing, the assignment of housing is the responsibility of the program director. These guidelines outline specific information for housing assignments, particularly concerning modification requests.

Guidelines

Program directors are required to make all housing assignments based on the biological sex of participants. These guidelines are intended to ensure a safe and respectful environment for all individuals staying in our facilities. When special housing modifications are requested due to medical, physical, or other personal needs, program directors must submit a request on behalf of the participant to the housing provider at least 21 days prior to check-in.

Request for Special Housing Modifications

    Submission of Request

    The program director must submit a formal modification request to the housing provider. This request should include:

    • Participant’s name and relevant details about the requested modification.
    • Specific information about the participant’s requested modification (e.g., medical, health-related, or other personal needs).
    • Supporting documentation, if applicable, to substantiate the modification request.
    • Parental/guardian approval.

    Review Process

    Upon receipt of the modification request, the housing provider will review the details and consider how best to support the participant’s needs. Modifications will be considered based upon availability and feasibility. Relevant stakeholders may be consulted as part of the review process.

    Cost of Modification Requests

    Please note that special modification requests may incur additional costs. For example, if a participant’s request requires a single room rather than a double room, the camp program may be responsible for any increased rate associated with that arrangement. All additional costs will be communicated and agreed upon prior to finalizing the modification.

    Modification of Outcome

    The program director will be informed of the outcome of the request review, including any steps or modifications necessary to house the participant. The housing provider will work with the program director to implement any approved modifications as reasonably practicable within the scope of available resources.

General Guidelines

  • All housing assignments should prioritize the safety, privacy, and comfort of all participants.
  • Modification requests should be made as early as possible to allow sufficient time for review and arrangements.
  • Any deviations from this guidance or unapproved modifications may be considered a violation of the housing agreement.
  • If a request for modification is made upon arrival to the housing location that was not previously disclosed, the program director may be required to contact the parent/guardian for authorization of the requested change.

Compliance

Failure to comply with this guideline may result in review and potential modification of the housing agreement with the camp program director. It is essential that all program directors adhere to these guidelines to ensure that our housing facilities remain a safe and welcoming environment for all youth camp participants.
